Voice and Tone
When a payment fails in the Tiffinbox app, and the money has already left the customer's bank account, the screen says: "Oopsie! Our chef dropped the spoon. Something went wrong!" The customer is worried about their money. The joke that charms people on a good day makes them angry on a bad one. The words were in the brand's voice. They were in the wrong tone.
The rule
Voice stays the same; tone changes with the reader's mood.
Voice is the product's personality in words, and it stays constant. Tiffinbox's voice is warm, direct, helpful and a little playful. A useful way to write a voice down is with "this, not that" pairs, which mark where a trait turns into its bad version:
- Warm, not gushing.
- Direct, not blunt.
- Playful, not silly.
- Helpful, not bossy.
Tone is how that voice adjusts to the moment, like a person who speaks one way at a celebration and another at a hospital, while staying the same person. Tone moves along a few scales: serious to playful, formal to casual, calm to excited.
| Moment | Reader's mood | Tone | Example |
|---|---|---|---|
| Order delivered | Happy | Playful, warm | "Dinner has landed. Enjoy!" |
| Rider running late | Impatient | Calm, honest | "Your rider is 10 minutes behind because of traffic." |
| Payment failed | Worried | Serious, precise | "Payment failed. If money left your account, it will be refunded within 5 to 7 working days." |
Notice the voice survives in every row: all three are direct and human. Only the amount of playfulness changes.
The shortcut
Read the mood before you write. Name how the reader feels at that exact moment, then choose the tone that fits that feeling. Only then write the words.
Name the mood
The customer has lost money and has no food. They are worried and possibly angry.
